Google Workspace for Education and GDPR Compliance

The legal basis for data processing is the provision of services (fulfillment of contract) between the user and Google through the synchronization of necessary user data from the skole.hr account between AAI@EduHr directories and Google Cloud directories.

The process of establishing the Google Workspace for Education service for school.hr account users takes place in four steps:

User login activation portal via CARNET using school.hr accounts

When registering for activation portal The user can see which personal data they will access activation portal, and allow or deny access to data.

The required data for user registration on the CARNET activation portal are:

  • Time
  • Last name
  • Original Issue Brief
  • email address
  • institutional affiliation

The provided essential data is used to uniquely identify the user who wishes to activate or deactivate their Google Workspace for Education user account. Once the activation portal uniquely identifies the user, for which the OIB (Personal Identification Number) is also used, for example, in case of user's last name changes, the OIB data is no longer used or transferred to G Suite in the synchronization of essential data for creating a user account in Google Workspace for Education.

2. Service Activation

Through the activation portal, the user submits a request to CARNET for the establishment and activation of the Google Workspace for Education service for their user account. Before activation, the user accepts the synchronization of necessary user data with the Google Cloud directory.

Required data are:

  • Time
  • Last name
  • email address
  • Institutional affiliation.

A submitted request to establish Google Workspace for Education services can be withdrawn (deactivated) on the same page. From the moment a request to withdraw (deactivate) the Google Workspace for Education user account is submitted until the account is deleted, 30 days may pass, within which it is possible to reactivate the account without data loss. 

3. Data synchronization

CARNET uses Google's synchronization tool (GCDwhich periodically synchronizes user data necessary for service activation between the skole.hr directory and the Google Cloud directory. Synchronization is performed every 30 minutes, and upon successful synchronization, the user receives an email confirming the successful establishment of a Google Workspace for Education user account.

4. Access and Use of Google Workspace for Education Services

After successful synchronization, the user accesses and uses Google Workspace for Education services in accordance with Google's terms of service, which are available on the website https://gsuite.google.com/terms/service-terms/

CARNET participates in the processing of necessary personal data during the sign-up process for the activation portal and the activation of Google Workspace for Education services, solely upon user request and for the realization of service activation.
